We are seeking a highly organized, proactive, and detail-obsessed Remote Administrative/real estate Coordinator to become the central hub for tracking all our real estate transactions. You will be the critical link between our agents, clients, title companies, and inspectors, ensuring that every deal moves from contract to close seamlessly, on time, and without any surprises. This is not a passive role. You will take full ownership of the lead process, allowing our agents to focus on generation and client service. If you thrive on checklists, love solving puzzles, and get a thrill from crossing the final "t" on a closed deal, this is the perfect role for you. **Key Responsibilities:** Deal Management: Manage a pipeline of 20-30+ transactions simultaneously from ratified contract to closing and post-close. Timeline & Compliance Mastery:Create, manage, and enforce critical deadlines for inspections, appraisals, financing, and other contingencies to ensure strict contract compliance. Communication Hub: Serve as the primary point of contact for all parties involved in the transaction, providing regular, proactive updates to agents and clients. Documentation & Filing: Prepare, distribute, and track all necessary documents (addendums, amendments, disclosures) using our transaction management software (e.g., Skyslope, Dotloop, Follow Up Boss). Coordination: Schedule and coordinate all property inspections, appraisals, final walk-throughs, and other key milestones. Problem Solving:Proactively identify potential roadblocks (e.g., financing issues, appraisal gaps, title problems) and work with the agent to develop and execute solutions. Closing Preparation: Work closely with the title company or attorney to ensure the Closing Disclosure and Settlement Statement are accurate and that all closing conditions are met. What You'll Need to Succeed (Qualifications): Proven Experience: Minimum of 2 years of experience in a real estate transaction coordination, real estate paralegal, or real estate assistant role. A deep understanding of the residential real estate contract-to-close process is non-negotiable. Exceptional Communication: Stellar written and verbal communication skills. You are clear, concise, and professional in emails, texts, and phone calls. Organizational Prowess: Your natural state is "organized." You live by checklists, color-coded calendars, and have an impeccable eye for detail. Self-Motivation & Discipline: As a remote worker, you must be able to manage your own time effectively, avoid distractions, and maintain a high level of productivity without direct supervision. Problem-Solver Mindset: You don't just identify problems; you actively seek out and propose solutions.
